The Challenge
After several decades with PeopleSoft as the core engine behind its HR and financial processes, Papa Johns needed to evaluate SaaS-based options to replace its ERP footprint. Its HCM application relied on a highly custom, configurable onboarding process to manage the high-volume onboarding and offboarding typical of store-level and driver positions in quick-service retail. Papa Johns needed an external firm to help it understand its existing business processes, customization areas, and future growth needs before committing to a new platform.
The Solution
Papa Johns hired WorkStream to lead a full platform ERP evaluation over a 10-month engagement. WorkStream documented Papa Johns’s existing business processes and needs, and worked to understand its complicated customizations, particularly around the onboarding process for store and driver-level positions. WorkStream then led the evaluation of two software vendors, Workday and Oracle Fusion Cloud, and six implementation partners, three representing each vendor, building a matrix-based scoring model and drafting a formal RFP sent to every vendor and system integrator in scope. Once the data was in, it was clear to Papa Johns that its future was with Workday, and WorkStream negotiated a 40 percent reduction in Workday subscription fees along with phased pricing for the deployment.
The Results
- 10-month evaluation completed — WorkStream led Papa Johns through a full platform evaluation, comparing Workday and Oracle Fusion Cloud over a 10-month engagement.
- Complex onboarding process mapped — WorkStream documented the highly custom onboarding and offboarding process for store-level and driver positions.
- Six implementation partners evaluated — WorkStream built a matrix-based scoring model and evaluated six implementation partners, three for Workday and three for Oracle Fusion Cloud.
- 40% savings on favorable terms — WorkStream negotiated a 40 percent reduction in Workday subscription fees, along with phased pricing for the deployment.
