How Papa Johns scaled PeopleSoft payroll to 26,000 employees with 99.998% accuracy

The Challenge

Papa Johns has a very complex payroll and time collection process due to its many store locations spanning multiple states and regions, as well as complicated financial reporting that needs to account for employees who work across multiple store locations, sometimes in more than one state within a single shift or pay period. The existing payroll and time tracking system was unable to properly account for these complexities, and a new time tracking system needed to be built that could interface properly with PeopleSoft Payroll.

The Solution

Papa Johns hired WorkStream to design, develop, and deploy a new time tracking system and payroll process over an eight-month engagement, addressing the highly complex nature of payroll processing at Papa Johns. WorkStream met with multiple layers within the organization to better understand the operational goals, the financial goals, and the store-level business processes the new system would need to support, then drafted business requirements to guide development. Upon approval, WorkStream completed development of a large-scale application to support payroll processing for 26,000 of Papa Johns’s employees. The new process reached 99.998 percent accuracy, compared to a prior process that required significant manual intervention; only minor manual intervention is needed now. WorkStream also reduced the time from time-collection approval to payroll completion by 37 percent.

The Results

  • Payroll accuracy reached 99.998% — The new time tracking system dramatically improved payroll accuracy compared to the prior process.
  • Manual intervention minimized — Only minor manual intervention is now required, down from significant manual work under the former process.
  • Payroll completion time cut 37% — WorkStream reduced the time from time-collection approval to payroll completion by 37 percent.
  • Scaled to 26,000 employees — The new application supports payroll processing for 26,000 of Papa Johns’s employees across multiple states and store locations, delivered over an eight-month project.
